  • 1. EA Training Standard

    Every EA passes a pass/fail evaluation across all four service areas before placement. Every skill is rated Proficient or Mastered. One Developing rating in any area, the EA doesn't go live. The standard is not negotiable. As Ana puts it: "the agent's trust is not a training ground."

  • 2. 30-Day Output Review

    At Day 30 of every new placement, Ana runs a live evaluation in your actual environment — not what the EA can do in theory, but what they are doing in your business. Pass/fail. If they're not at Proficient or Mastered in every area you've activated, they don't continue.

  • 3. Monthly Quality Scorecard

    Four metrics, scored out of 80, every month, forever. 65+ = On Track. 50–64 = Watch — Ana runs a check-in within five business days. Below 50 = formal performance notice within 48 hours. You see the score the same day Ana does. No surprises, no spin.

  • 4. Replacement Trigger

    Defined conditions for replacement, but the most important one is the one you control: your request overrides everything else. If at any point you say, "This isn't working," that is the end of the process. No documentation required. No "are you sure?" call. No review. The replacement process starts within 48 hours of your request

  • Week 1: Kickoff and matching

    30-minute call with ReFrame’s Director of Operations. She maps your stack and matches you with an Executive Assistant already trained on the tools you use. You agree on the starting area (almost always email). One short intro call with your EA. That's the entire setup.

  • Weeks 2–4 : Email only

    Nothing else is touched. You see how it works. You see what the daily digest reads like. You see how your inbox feels when you don't have to think about it. If something's off, we adjust. Nothing else opens until you say so.


  • Day 30: Output Review

    The Director of Operations runs the live evaluation. Your EA either passes the standard or they don't continue. If you have any reservation, you say it now and we re-match. No charge for the re-match.

  • Weeks 5–8: Calendar

    Once you're comfortable with email, calendar opens. Same pattern: you see how the morning briefs land, how reminders feel, how reschedules get handled. Trust gets built one piece at a time.

  • Weeks 9–12: Files

    Folder structure built and populated. Naming convention applied across everything. You see how a quiet, clean file system changes your week.


  • Week 12+: CRM Database

    The deepest trust ask, saved for last. By now you've seen three full areas operate without you. CRM activation is the easiest hand-off in the program because you've already learned what to expect.
